In the case of the contact form located on the website, the purpose of data processing is to receive and answer inquiries, manage requests for quotes, and administratively track contact requests.
-
Purpose of data processing: Handling contact requests, responding, providing quotes, and related professional communication.
-
Scope of data subjects: Website visitors, interested parties, potential partners.
-
Scope of processed data: Surname, first name, e-mail address, phone number, company name, selected topic, content of the message, time of submission, technical log data.
-
Legal basis for data processing: Article 6(1)(b) of the GDPR if the inquiry is a step prior to entering into a contract; in other cases, Article 6(1)(f) of the GDPR, the legitimate interest of the data controller in handling inquiries.
-
Retention period: As a general rule, 1 year from the resolution of the inquiry, unless a contractual or legal claim arises from it.
-
Recipients: Hosting provider (Wix.com Ltd.), e-mail service provider.
The use of the contact form is voluntary. However, the data subject acknowledges that without providing the data marked as mandatory, responding or providing a quote is not possible, or can only be done partially. The data controller explicitly requests that data subjects do not provide special categories of personal data (e.g., health data, trade union membership, personal details of accident reports) under Article 9 of the GDPR in the form. If such data is received, the data controller will delete it without delay.
2.2. Request for Quote
The purpose of data processing is to process the request for a quote initiated by the interested party, to conduct the necessary professional consultations, to prepare a customized offer, and to facilitate potential contract preparations.
-
Purpose of data processing: Providing quotes, preliminary needs assessment, business consultations.
-
Scope of data subjects: Potential clients, their contact persons.
-
Scope of processed data: Name, e-mail address, phone number, company name, job title, data concerning business sites and employee headcount, line of business, description of needs.
-
Legal basis for data processing: Article 6(1)(b) of the GDPR, taking steps at the request of the data subject prior to entering into a contract.
-
Retention period: 1 year from the closing or completion of the quote, unless a legal claim or accounting/contractual obligation justifies a longer period.
-
Recipients: E-mail service provider, hosting provider (Wix.com Ltd.).
The data controller reserves the right to request additional professional details required for preparing the quote (e.g., existence of current regulations, regulatory involvement, compliance history) if the offer cannot be professionally or commercially compiled without them. During the request for a quote, the prohibition on providing special categories of data (Article 9 of the GDPR) also applies, unless it is specifically necessary for the provision of the service based on a statutory obligation.
2.3. Contact via E-mail and Telephone
If the data subject contacts the data controller directly via e-mail or telephone, the data controller processes the provided personal data for the purposes of conducting communication, answering the inquiry, and preparing the business relationship.
-
Purpose of data processing: Communication, responding, keeping in touch.
-
Scope of processed data: Name, e-mail address, phone number, company name, content of the inquiry, communication history.
-
Legal basis: Article 6(1)(b) or (f) of the GDPR, depending on the nature of the matter.
-
Retention period: 1 year from the closing of the contact, unless further legal or contractual relevance applies.
Note: The data controller does not record incoming and outgoing telephone calls.
2.4. Contractual Prospects, Business Relationships, and Customer Relations
The data controller processes the data of business prospects applying through the website or other channels, as well as the data of natural person contact representatives involved in establishing contractual relationships, for the purpose of establishing, maintaining, performing, documenting, and protecting business relations.
-
Purpose of data processing: Establishing and maintaining business relationships, contract preparation, and performance.
-
Scope of data subjects: Contact persons, representatives, and employees of contracting partners.
-
Scope of processed data: Name, job title, e-mail address, phone number, corporate identifiers, communication history.
-
Legal basis: Article 6(1)(b) and/or (f) of the GDPR.
-
Retention period: Following the termination of the contract, for the general civil law limitation period (5 years), or for the mandatory period prescribed by accounting and tax laws (8 years).
The legitimate interest of the data controller is, in particular, maintaining contact, documenting business communication, handling disputes, and the administrative tracking of contractual processes.
Based on the GDPR and the practice of the NAIH (National Authority for Data Protection and Freedom of Information), the processing of data relating solely to legal entities (such as a company's official name, registered office, tax number, central e-mail address) does not fall under the scope of the GDPR.
Therefore, the provisions of this policy—with the exception of the personal data of natural person contact representatives—do not apply to the processing of such company data.
2.5. Social Media Presence
The data controller may be present on social media platforms, in particular on LinkedIn and Facebook. During the operation of social media pages, the operator of the respective platform may participate in data processing as an independent controller or in another role depending on the nature of the specific function.
-
Purpose of data processing: Brand building, provision of information, keeping in touch, content sharing.
-
Scope of data subjects: Persons visiting or interacting with the social media pages.
-
Scope of processed data: Public profile data, reactions, messages, comments, statistical data.
-
Legal basis: Article 6(1)(f) of the GDPR, legitimate interest in maintaining the business's online presence; for certain platform functions, the platform's own legal basis may also be relevant.
-
Retention period: The duration of the connection on the given platform or the availability of the content, or a period aligned with the internal practice of the data controller.
The data controller draws attention to the fact that joint controllership (Article 26 of the GDPR) may arise with social media providers (e.g., Meta Platforms Ireland Ltd., LinkedIn Ireland Unlimited Company) during the operation of the page and the processing of statistical data (Insights). The social media providers' own privacy policies and practices apply independently to the data subject's page visits and platform use.
2.6. Embedded Content
The website may contain embedded content from third parties (such as maps or social media add-ons). These embeds may technically involve the external provider collecting data about the visitor or placing cookies.
-
Purpose of data processing: Displaying content, expanding website functionalities.
-
Scope of processed data: IP address, browser and device data, usage data, and possibly identifiers associated with cookies.
-
Legal basis: Depending on the nature of the embed, the legitimate interest of the data controller or the consent of the data subject.
-
Recipients: The respective external service provider.
The activation of non-essential external content is subject to the data controller's appropriate consent management solution (cookie notice and preference panel).
3. Cookies and Similar Technologies
The website uses cookies and other similar technologies to ensure the secure operation of the website, improve user experience, perform statistical analyses, and, where applicable, achieve marketing objectives.
Under current electronic communications regulations and data protection authority practice, storing data on a user's terminal equipment or gaining access to data stored there—with the exception of technical cookies strictly necessary for the basic operation of the website—may only take place following appropriate information and on the basis of the data subject's explicit and voluntary consent.
The data controller provides detailed information to data subjects regarding the exact categories of cookies used on the website, the purpose of data processing, third-party providers, and retention periods in a separate Cookie Policy.
3.1. Main Categories of Cookies
Based on their purpose and function, the cookies used on the website can be classified into the following main categories:
-
Strictly necessary cookies: Cookies essential for the basic operation of the website, navigation, and IT security functions. Legal basis: Legitimate interest of the data controller and technical necessity.
-
Preference cookies: Technologies used to remember user settings (such as language or display preferences). Legal basis: Voluntary consent of the data subject.
-
Statistical / analytical cookies: Analysis of visitor data and user usage patterns to improve website performance and ergonomics. Legal basis: Voluntary consent of the data subject.
-
Marketing cookies: Cookies used for advertising, remarketing, and profiling purposes to track the user's browsing behavior. Legal basis: Voluntary consent of the data subject.
3.2. Detailed Table of Cookies
An up-to-date and detailed list of cookies actually used on the website (cookie name, name of external service provider, precise purpose of data processing, expiry period, type of cookie, and applicable legal basis) is made available by the data controller on the consent management interface operating on the website (Cookie panel), as well as in the separate Cookie Policy available on the website.
4. Categories of Data Processors and Technological Partners

5. Data Transmission, Recipients, and Third Countries
The data controller transmits personal data only to the extent necessary, with an appropriate legal basis, and to an appropriate scope of recipients. The data controller strives to ensure that the processing of personal data primarily takes place within the European Economic Area (EEA).
During the operation of the website and the utilization of technological partners, data transmission to or access from a third country (outside the EEA) may occur. The data controller applies appropriate safeguards in accordance with Chapter V of Regulation (EU) 2016/679 (GDPR) during such data transmissions.
Based on the actual technical background, data transmission to a third country particularly affects the following providers and technologies:
-
Atlassian Corp.: A sub-processor performing the processing of personal data of registered users, where the destination country of data transmission is the United States of America (USA) and the United Kingdom. To ensure compliance, the partner applies the Standard Contractual Clauses (SCC) approved by the European Commission.
-
Wix.com Ltd.: The provider of the website's cloud-based platform. Data transmission to the State of Israel takes place on the basis of the European Commission's adequacy decision, while transmission to the USA and other third countries is based on the Standard Contractual Clauses (SCC) approved by the European Commission, as well as the EU-US Data Privacy Framework (DPF).
-
Social media and analytical platforms: In the case of technological services integrated into or associated with the website, such as Google Analytics, Facebook, and LinkedIn, the guarantee for data transmission to the USA is provided by the EU-US Data Privacy Framework (DPF) or valid SCCs.
6. General Principles of Retention Periods
The data controller does not store personal data for longer than is necessary to achieve the purpose of data processing, to fulfill legal obligations, or to establish, exercise, or defend legal claims. This storage limitation is one of the core principles of Regulation (EU) 2016/679 (GDPR).
Based on the internal data processing practices of the data controller, the retention periods for personal data are established as follows:
-
One-off contact and general inquiries: 1 year from the last message exchange (provided that no contract is concluded as a result of the inquiry).
-
Request for quote: 1 year from the expiry of the offer's validity (to ensure subsequent traceability).
-
Contractual contact details: 5 years following the termination of the contract (general civil law limitation and claim enforcement period).
-
Data on accounting documents and invoices: 8 years from the issuance of the document (mandatory retention obligation existing under the Hungarian Accounting Act).
To enforce the principle of storage limitation, the Data Controller carries out the deletion of personal data that has exceeded its retention period or has lost its purpose (especially data of unresolved requests for quotes exceeding one year) using automated deletion routines set up in its systems, or by applying a regular—at least quarterly—documented internal review procedure.
7. Rights of Data Subjects
Based on Regulation (EU) 2016/679 (GDPR) and the Hungarian Info Act (Infotv.), the data subject is entitled to the following rights:
-
Right of access: The data subject is entitled to receive confirmation as to whether or not personal data concerning them is being processed, and if so, is entitled to access the processed data and related information.
-
Right to rectification: The data subject may request the rectification of inaccurate personal data concerning them or the completion of incomplete data without undue delay.
-
Right to erasure ("right to be forgotten"): The data subject may request the erasure of personal data if the purpose of data processing has ceased, consent has been withdrawn, or the processing is unlawful.
-
Right to restriction of processing: The data subject is entitled to obtain restriction of processing from the data controller upon request if, for example, they contest the accuracy of the data, or the processing is unlawful but they oppose the erasure of the data.
-
Right to data portability: The data subject is entitled to receive the personal data concerning them, which they have provided to a data controller, in a structured, commonly used, and machine-readable format, and has the right to transmit those data to another data controller.
-
Right to object: The data subject is entitled to object, on grounds relating to their particular situation, at any time to the processing of their personal data based on legitimate interest (Article 6(1)(f) of the GDPR).
-
Right to withdraw consent: If data processing is based on voluntary consent, the data subject is entitled to withdraw their consent at any time. The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.
Handling of Requests and Methods of Exercising Rights
The data subject may exercise their rights detailed above by sending a written request to the data controller via the provided contact details (by post to the address: 2100 Gödöllő, Szent János utca 12. Bldg. A, Entrance 1, 4th floor, Apt. 12, Hungary, or electronically to the e-mail address: s4a@s4a.hu). The data controller is entitled to verify the identity of the person submitting the request if reasonable doubts arise concerning the identity of the requester, but may not request disproportionate additional data for this purpose.
The data controller examines and responds to requests without undue delay, but generally within one month of receipt at the latest. In certain complex cases, this deadline may be extended by an additional two months in accordance with GDPR rules. Based on the GDPR and the Hungarian Info Act, measures and information related to the exercise of data subject rights are, as a general rule, free of charge.
8. Legal Remedies
If the data subject considers that the processing of their personal data does not comply with the relevant legal requirements, they may lodge a complaint with the National Authority for Data Protection and Freedom of Information (NAIH), and may also turn to a court of law. In the Hungarian legal system, the supervisory authority tasks under Regulation (EU) 2016/679 (GDPR) are performed by the NAIH.

In addition to the right to lodge a complaint, the data subject is entitled to bring proceedings before a court in the event of an infringement of their rights. The court hears the case in an expedited procedure. The lawsuit may also be brought, at the data subject’s choice, before the tribunal competent according to their place of residence or stay.
9. Data Security
The data controller applies technical and organizational measures appropriate to all circumstances of data processing and the risks threatening the rights of data subjects to ensure the security of personal data. In accordance with legal requirements, the data controller applies a risk-proportionate approach to prevent the accidental or unlawful destruction, loss, alteration, unauthorized disclosure of, or unauthorized access to personal data.
The Service Provider particularly draws users' attention to the principles of data minimization and data avoidance. Please ensure that prior to sending or uploading professional documents (such as occupational safety registers, layout plans, accident reports), you anonymize or redact unnecessary personal data (e.g., third parties' private phone numbers, home addresses, health data) if they are not strictly necessary for the professional evaluation and quote preparation.
In its daily operations, Safety For All Kft. particularly applies the following technical and organizational measures:
-
Access management: Implementation of strict authorization levels in internal customer relationship and administrative systems, ensuring that data can only be accessed by authorized persons.
-
Authentication and protection: Password protection and—in the case of critical systems—multi-factor authentication (MFA) on cloud-based platforms performing data processing.
-
Device security: Password and/or biometric protection of portable work equipment (laptops, mobile devices, digital tablets) used during on-site inspections and field work, to prevent physical access.
-
Secure communication: Use of encrypted channels (HTTPS protocol) during data transmission through the website and visitor interactions.
-
Data backup and logging: Regular, cloud-based backups and basic event logging of IT systems to prevent data loss and ensure the traceability of processes.
-
Endpoint protection: Use of up-to-date antivirus software and built-in firewalls on workstations used by the data controller.
-
Contractual and organizational guarantees: Strict confidentiality undertakings by the data controller's employees and subcontractors, as well as the existence of Data Processing Agreements (DPA) concluded with data processors (technological providers).
Data backup, logging, and pseudonymization: Regular, cloud-based backups and basic event logging of IT systems to prevent data loss and ensure the traceability of processes. During backups and possible system analytics, the Data Controller strives to pseudonymize personal data in order to minimize the risk of personal data breaches.
10. Children's Data
Due to their nature, the website and the environmental and occupational health and safety (EHS) services provided by Safety For All Kft. are, as a general rule, not directed at children. The data controller does not knowingly collect or process personal data from persons under the age of 16 in cases where parental or legal guardian involvement (consent) would be required under the rules of Regulation (EU) 2016/679 (GDPR). If the data controller becomes aware that personal data originating from a person under 16 has come into its possession without appropriate consent, it will delete such data from its systems without undue delay.
11. Automated Decision-Making and Profiling
During the operation of the website and the provision of services, the data controller does not apply decision-making based solely on automated processing, including profiling, which would produce legal effects concerning the data subject or similarly significantly affect them.
12. Amendments and Entry into Force of the Policy
The data controller reserves the right to unilaterally amend this policy, in particular in the event of legislative changes, supervisory authority practices, technological changes, or modifications to the website's functionality.
